Rules of Operation

1. Basic operating conditions

For registration or participation to be valid, it must always be accompanied by the payment of the total amount of the subscription. Each participation is strictly personal and is not transferable to third parties. Each member must provide a medical certificate from a physician or cardiologist certifying that physical exercise is permitted within three days of registration. It is noted that pregnant women are required to provide an additional medical certificate from their gynecologist, confirming their ability to exercise.
This certificate is renewed every 12 months. If the certificate is not presented, the member exercises at his own risk, signing a responsible statement to this effect and the gym reserves the right to refuse the member’s participation until the certificate is presented.For registration, the presentation of proof of the applicant’s identity is required. For the registration of minors, the physical presence of his parents or guardians is required and the signature of the parents or guardians of the minor on a statement of consent for the registration of the protected member. In the case of divorced parents, the above is done by the parent who exercises custody of the minor, presenting a copy of either the private custody agreement or the court decision on the basis of which custody has been assigned to him. After successful registration, the gym issues a free membership card to the member. Each member must present their membership card to the receptionist upon entering the gym. The membership card will be kept strictly confidential. Persons not carrying the membership card will not be allowed to enter the gym. Members may request a free replacement of their card only for wear and tear caused by normal use. The card will not be reissued upon renewal of membership.

2. GDPR/Cameras

Processing of personal data:
The gym  Project Fitness Studio collects and uses any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organization, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction, to provide you with services.
They use the personal data they receive in order to:
-Provide you with services and respond to your requests relating to the subject matter to which they refer.
-Communicate with you if it has obtained your explicit consent for this purpose, regarding the services and to send you notifications directly or through third parties.
-To comply with and enforce applicable legal requirements.
The Gym Project Fitness Studio will process personal data through its personnel.
The Gym Project Fitness Studio informs you of the right to withdraw / object / correct the personal data of the subject at any time.

Cameras,,photographs-videos:

A surveillance system using closed-circuit television (CCTV) cameras operates in our facilities, for reasons of safety and protection of persons and goods. In particular, the video surveillance system is used exclusively to a) facilitate access control to our facilities b) enhance the safety of our staff, members and visitors by preventing and averting potential risks and ensuring our immediate intervention in cases of emergency and c) ensure the protection of our property. The installation of the system and the determination of the recordings were carried out after an impact assessment was carried out, in order to follow the terms and conditions described therein, in accordance with the GDPR and Directive 1/2011 of the Personal Data Protection Authority. Legal basis for processing: The processing of data obtained from the video surveillance system is necessary to fulfill our legal obligation to ensure the safety of life, physical integrity, health and property of our employees, as well as the property of third parties (members or visitors) who are lawfully present on our premises. In addition, we have a legitimate interest in protecting our premises and property from unlawful acts. The processing is therefore based on Article 6(1)(c) and (f) of the GDPR. Retention period: The image data collected through the video surveillance system are retained for 15 working days and are deleted after this period, provided that no incident has occurred to the detriment of the above persons and goods, in which case the retention of the data in a separate file may last a) for 30 days, if the incident occurs to our detriment or b) for 3 months if the incident concerns a third party. In exceptional cases, where the incident concerns us and requires further investigation, the retention period of the data may be extended to the necessary extent and after informing the Personal Data Protection Authority. In addition, we may take photographs and make a few-minute video recording of our members during our programs. This material will be published on our website and on our social media accounts to promote our actions and services.
Legal basis for processing: The processing of this data takes place exclusively after obtaining your consent. It is therefore based on Article 6, paragraph 1, point a’ of the GDPR.
Retention period: The retention of your above data lasts until your consent is revoked.

3. Gym Responsibilities

The gym provides its customers with equipment and specialized staff for individual and group training. The gym makes every effort at all times to ensure the best operation of its programs but cannot under any circumstances be held responsible for any of the following anomalies that may arise before or after the start of a section or program: for any reason, scheduled changes, delays or cancellations of activities (and any subsequent developments), theft, damage or loss of luggage, money or documents, as well as theft, damage or loss of equipment or other objects. However, it is understood that the gym will make every effort to deal with the above unusual circumstances in the best interests of the client, who is solely responsible in particular for the safekeeping and security of his personal belongings (money, valuables or documents, etc.) that he brings into the gym. In order to better serve the majority of customers, the gym reserves the right to unilaterally make changes to the program, opening hours and services offered..

4. Athletes’ Responsibilities

Athletes must be consistent, strictly adhere to the schedule of each program/class, adhere to the operating rules and be polite to the staff and other athletes. Athletes are solely responsible for the timely provision and safekeeping of all documents, the authenticity of all statements and are not entitled to any type of compensation in the event of loss of part or all of the services of the program/department due to their negligence. They are responsible for the safety of their belongings in all areas and assume full responsibility for them. They must keep their locker locked and unlock it every time they leave the premises. Otherwise, all lockers that remain locked will be opened every night by the gym management. Exercisers must behave wisely, observe personal hygiene rules and keep the premises clean. Do not make noise during training or when using equipment or dumbbells. Always return the equipment to its original position. Use clean sports shoes and do not enter the gym or Pilates studio area with inappropriate shoes or other accessories (e.g. jackets, bags). Food is not allowed in all areas of the gym. The consumption, promotion or sale of any kind of preparation is expressly prohibited in all areas of the gym. Strictly observe the use of towels during activities in the gym and Pilates studio areas. Respect the gym’s operating hours. Leave the gym 5 minutes before closing time. The gym reserves the right to change the scheduled functions in case of force majeure. Cancellation of a class reservation is not permitted less than 1 hour before the scheduled time (in this case, the client is charged for the missed class and is not reimbursed). Also, class reservations are not permitted earlier than one week, and participation in more than one fitness program per day is not permitted. Good behavior and compliance with the recommendations and instructions of the staff are basic requirements, the violation of which entails sanctions. Smoking is not permitted in any of the gym’s areas.

5. Staff instructions

 Good behavior towards the gym staff is considered a basic requirement for the use, entry and/or stay in any type of facility. Otherwise, the gym reserves the right to partially refuse to provide any services, even those provided for in the contract, and to cancel (unilaterally) or terminate the original contract at its discretion and without compensation.

6. Subscription freeze

The “freeze”, i.e. the right to suspend the use of the gym’s services and, consequently, the subscription period, applies only to annual subscription packages, for a maximum total period of one month, with the possibility of dividing the freeze period into “weeks” upon agreement of the parties. The freeze is granted only if there are serious reasons for the member’s inability to use the gym’s services, which are proven in writing. The freeze applies only to members who have purchased or renewed their subscription at the basic/initial price indicated in the gym’s invoice. The freeze of a member’s subscription will automatically take effect from the day following the last day of the period during which the member is confirmed to be unable to use the gym’s services. Members who have registered as members or have renewed their membership at the special offer price are not entitled to “freeze” their membership. 

7. Gym Rights

Exercisers must complyat all times with the applicable rules and regulations of the company. Otherwise, the gym reserves the right, at its sole discretion, to terminate or cancel the original contract and charge compensation for the use of the services up to the date of termination. Members’ personal data will be retained only for identification purposes upon entry to the gym, for security reasons and to facilitate our activities. Under no circumstances may they be used or disclosed to third parties or companies for any reason. The above terms apply to all persons entering the gym premises for any reason and apply to all members of the gym, regardless of whether or not these terms form part of an implementation agreement between the client and the gym.
